Library rules for the University Library of Southern Denmark 

 

Library card
A library card is necessary for borrowing books from the University Library of Southern Denmark and it must be presented every time an item is collected.

A library card is issued by the library after the provision of valid identification with a Danish CPR-number. Without a CPR-number, the library may insist on some other form of guarantee or security.

Students with a valid student card from the University of Southern Denmark or the University of Flensburg, however, receive cards without security.

You can apply for a library card online

A library card is supplied with the borrower's name, and a  personal card number and barcode. A password is also attached to the library card which is used when making electronic requests and renewals in ODIN.

A library card is strictly personal and the borrower will be held responsible for borrowed items and their return to the library within the loan period.

The library must immediately be informed of any change of address.

 Loss of a library card must be reported as soon as possible to the library so than it can be blocked.

Period of loan
A period of loan is the time from which an item is noted as lent out until it can be recalled again.

See below for periods of loan.

Normal loans: 30 days 
Overnight and weekend loans: From 15 minutes before closing time until 9.00 a.m. on the next day the library is open (If the next day is a Saturday, then as soon as the library is opened).
Interlibary loans:  Whatever period of loan determined by the library in question


Dictionaries, lexicons, reference works, bibliographies, etc., are normally only for use on the premises. Arrangements can, however, be made for overnight and weekend loans.

Items borrowed overnight or for the weekend must be returned to the same campus library and service point from which they have been borrowed.

Borrowed material not in use ought to be returned.
If you are away from your home address for more than one week then borrowed material should be returned unless other arrangements have been made with the library.

Renewals of loan
A period of loan can be extended if the borrowed material has not been reserved by another borrower. The loan can be renewed online in ODIN. A renewal can be made at the earliest after 14 days. The period of renewal is the same as a normal period of loan.
Interlibrary loans can also be renewed online in ODIN by filling in this online form.
Loans can also de renewed by contacting the staff of the library.

Reading room loan 
Some of the library's material can only be used on the premises; primarily all material published before 1800 plus dissertations, plates, certain videos, loose-leaf and works which are too rare or fragile for normal loan.

Material lent out to the reading room/supervised reading desks will normally be available for one month. Renewal is possible.

Material borrowed from other libraries which is not for normal loan and archive material will also be made available in the reading room/at supervised reading desks.

Semester loan 
It is possible to have material which is to be used in connection with courses or written papers set aside for short limited periods on a semester loan shelf.

A semester loan shelf can be established by either a lecturer or a group of students.

Material on a semester loan shelf can only be used on the premises but it is possible to borrow it overnight or over the weekend or briefly in order to make photocopies.

Interlibary loans
The library will try to obtain literature needed for research or study purposes, not found in the library's own collections, from other libraries at home or abroad.

Recall procedures and fees
Material will be recalled when someone else wishes to borrow it and the loan period has been exceeded. Material will, however, always be recalled at the latest three months after it has been noted as lent out. The library can at all times recall material which is needed for official purposes. If the loan can be renewed, this will be noted on the recall notice (routine recall notice). 

Should the material not be returned or renewed at the latest 7 days after the first recall notice, then a second recall notice will be sent including a fee of 25,00 kroner per recalled item. If the material is not returned or renewed at the latest 9 days after the second recall notice has been sent, then an invoice claiming replacement plus a further fee of 125,00 kr. per recalled item will be sent. These fees have to be paid even if the material is returned afterwards.

If there is no reaction to this invoice, the matter will be referred to the collector of debts and there will be an extra fee for costs.

If requested, the library will give a receipt for returned material. 

Damaged or lost material
Material which has been damaged or lost should be replaced by the borrower. 

Requesting material
It is possible to make requests for material online in the library's catalogue ODIN. The library also accepts requests in the form of request forms, prints, photocopies, etc. as well as via e-mail, fax or the telephone. Please make a note of the last date of interest for the requests. Then they will be cancelled after this date, if they have not been executed

Notices from the library 
The following notices are sent out in connection with requested material:

  • Problems/delays in connection with the acquisition of the material.
  • Picking up of material, which was on loan from one of the library's departments at the time the request was made. (The material must be picked up within 8 days from the date on the notice).

Borrowers can see status for requested material in the library's system ODIN.

Picking up requested material
Material, which has been requested before 12.00 noon and which is not on loan from one of the library's departments will normally be ready to be picked up the following working day from 12.00 noon - status for requests can be checked in the library's system ODIN.
Requested material can be picked up for 8 days.

Forwarding of material
Borrowers can have books forwarded by post for a charge of 50.00 kr. per book. Photocopies, prints and microforms are forwarded for a charge of 15,00 per item of post.

Photocopies and prints 
Copies of journal and book articles as well as newspaper articles on microfilm can be requested. Prints from electronic sources can likewise be requested. The charges can be seen in the table below:

Requests for photocopies/prints cost 1,00 kr. per A4 sheet of paper and 2,00 kr. per A3 sheet of paper.
Requests for copies from microfilm cost  3,00 kr. per A4 sheet of paper.
Self-service photocopies cost  0,50 kr. per A4 sheet of paper and 1,00 kr. per A3 sheet of paper.
Self-service copies from microfilm cost  1,50 kr. per A4 sheet of paper
Prints from electronic journals, search results, etc.  0,50 kr. per sheet of paper


The library can decide to supply copies of journal articles, for example, free of charge instead of lending out the complete journal.

Sanctions
Library users who infringe the rules of the library can have their right to borrow books suspended. A borrower, who has been suspended from the right to borrow books is only allowed to use library material in the library's reading rooms/supervised reading desks.
